Box migration update

Dear SPS Community,

As of April 13, 2022, files, and storage capacity within the SPS BOX ORG is 326,328 and 1.32 TB, a 55.6% and 48.70% decrease from last week respectively. A genuine Thank You to everyone’s efforts throughout this project.

Final departmental migrations will happen during Weds. OR Thurs. until Friday NOON April 15, 2022. On Friday @ NOON on April 15, NUIT will be migrating the remaining SPS BOX ORG files and folders into SharePoint; and at this time, NO EDITs are possible to the files or folders within the SPS BOX ORG. On Monday April 18, 2022 the SPS BOX ORG will be READ-ONLY for 30 days.

SPS Box Drive Migration

Dear SPS Community,

As we all prepare for the upcoming BOX migration, In addition to these training opportunities, it is also recommended that Spring Cleaning of your Individual BOX accounts should be done at this time to shorten the migration timeline. (Delete duplicated, triplicate, and all unwanted files from individual accounts.)

Desk Flex Workspace Reservation

Dear SPS Staff,

With our return to the office coming shortly, it is important to be prepared for the changes to our work environment. Several workspaces at Wieboldt Hall, Abbott Hall, and the Mansion have been repurposed as shared neighborhood spaces that will be available on a reserved basis to individuals or groups that need temporary space. We will be using the DeskFlex app to allow staff to reserve spaces in SPS facilities.

The app can be accessed via the web, or in a mobile version available for Android and Apple iOS. Users will authenticate to the system using their Net ID and password, described in the PDFs we are attaching to this email. Users will then specify their desired date, time, and space they wish to reserve.

A word of caution: we have tested the web and mobile applications, but we are still working out technical issues with the vendor. We ask for your patience while we improve the user experience. Mobile App Quick Start Guide

500 Davis Street (Evanston) – Osher Lifelong Learning Institute (OLLI) classrooms

Completed OLLI Classrooms with donated tables & cushioned chairs. Once again, many thanks to CPS.

The OLLI classrooms will be the benefactors to upgraded furniture and chairs courtesy of the Center for Public Safety (CPS). Current chairs are flat, hard plastics while current tables do not have casters and are difficult to move.

Wieboldt Hall Classroom(s) +

The final pieces of plexi-glass was delivered Fri. Sept. 18. All student and faculty PPE are laid out and the classroom is ready for Mon. Sept. 21, 2020 when the aMPPA students arrive in this space @ 9:30am.

First piece of plexi-glass is hung up in front of the lectern at Wieboldt Hall. More plexi-glass to come.

In addition to the building HEPA filtered air, there will be additional HEPA filtered air cleaners distributed around the classroom for added air quality control. In addition to HEPA air cleaners, hand-sanitizer/face masks/tissue stands are located outside of all common hallways.

Almost ready for the Fall 2020 face-to-face aMPPA (Accelerated Master’s in Public Policy and Administration) students! The hanging plexiglass is scheduled to be hung this week as this has been delivered (see RED arrow). We are awaiting the delivery of two additional mobile plexiglass that will be stationed adjacent to the lectern.

Tables and table-barriers placed in ALL the classrooms has been zip-tied together to limit movement.

Faculty will also be receiving their own PPE on the lectern as they arrive.

Student PPE will be in the classroom when they arrive.

Each student will have an assigned number on the table. The idea is to have each student sit only at that seat to prevent musical chairs.

As requested from the academic group, two additional student rooms are available for our aMPPA students. (see photo below)

The “NEW” Global Marketing signage are placed throughout Wieboldt Hall. There are many similar signage throughout the building and campus. Drinking fountains have also been “x’ed-out” – NOT fill stations. (see below)

The Wieboldt Hall Classrooms are coming along. Tables are serving double duty as barriers and student desks. One-way floor decal arrows are being installed. One Entry door and One Exit door will be the “norm”. A mote area surrounds the faculty area. All are still work in progress so stay tuned for more updates. The Faculty requested a classroom just for them. I said okay. Room 702 was converted to be their own faculty lounge with two chairs in the event there is a student/teacher conference. Yes, 6′ apart…

The 7th floor hallways furniture has been removed and stored away. (BEFORE and AFTER images below)

Classroom are converted to store all extra furniture (see photos below) – we may have a Storage Wars sale soon (LOL!) – you know, that show where there is a Auction of ALL items in dormant storage lockers. (click onto the word Storage Wars above to see full meaning)

Wieboldt Hall Classroom 703, 704, 705 will be fully opened, rearranged, and prepared for our Accelerated Masters of Public Policy and Administration (aMPPA) cohort beginning Fall 2020. Shown below is the original configuration of the classroom space. Current capacity for all three classrooms is 126. After the configuration, the classroom will accommodate up to 27 students, if necessary. (extra space – Yay!)

Classrooms 703, 704, 705 being configured for the best possible solution with a 6 feet radius between all student’s workspace. Work in progress…Stay tuned.

1801 Maple

The move out of the lab is now complete – YAY! See the photos below. NOW – Elvis has left the building…again.

Along South Wall immediately left upon entry …

Move out begins October 13, 2020 of the 1801 Maple location forensic lab. Some photos inside the lab are below, along with some movement in the hallways for now. Wow, a lot of stuff. (See Day 1 & 2 photos below)

Just in…after the epic move-out of our entire facilities on the 1st floor, we have one more room to move out from – the Forensic’s Lab. All the sensitive equipment and chemicals located inside this lab will be completed by the equipment owners and is scheduled for Tuesday October 13, 2020 – Stay-tuned as the date draws closer for exclusive pix. (More photos soon!)

Day Twenty Three through day Twenty Nine – (Final Days from August 25 through August 28)… We have completed moving out of 1801 Maple location. All services completed – desk emptied, coffee & water disconnected, items moved, electronics recycled, and floor cleanings will be Friday and Monday August 31, 2020. All staff are working remotely, all needed items (for now) are stored safely inside the Coach-house, and all keys will be given back to central facilities. (whew!) If you have a key to return, please email sps-it@northwestern.edu to setup a key return date. The forensics lab and equipment will be moved out sometime in the month of October 2020.

Day Twenty-Two (Aug. 24, 2020)…Trucks are loaded once again…Round Two into Coach-house – 1st and 2nd floors loaded up with more. Chairs and Furniture will be reused in Wieboldt when needed.

Day Seventeen (17)…All staff have moved out of their offices and work-spaces. First group of files and boxes moved into the Coach-house as the Second Round will begin next week. Additional cleanup and moves are scheduled for next week such as Coffee & Water service removal; NUIT phone disconnections, and Janitorial services; will be coming to complete the final move-out process. (see work-spaces below – Which areas do you recognize?)

The Purple chairs and tables will be generously donated and to be used in OLLI’s 500 E. Davis Street location in Evanston. Thank You CPS! (Center for Public Safety)

Day Eleven (11)…first move of items into the Coach-house (415 Church St.) from 1801 Maple – ROUND ONE (ding goes the boxing bell) – Wow, a lot of stuff! Move-out will continue into the week of (8/16 – 8/22). The Center for Public Safety (CPS) is scheduled to be fully out of the 1st FL of 1801 Maple by Monday August 31, 2020. Additional photos are shown below (scroll down).

More items moved into the Coach-house. (Pack ’em, Rack ’em & Stack ’em!) These are taken from the 2nd and 1st floor areas in the Coach-house.

Day SEVEN (7)… some more progress photos of items stacked and ready for pickup to store inside the Coach-house.

This is the current location of the Center for Public Safety (CPS). We are expected to vacate these premises by August 31, 2020.
